The Accounting Specialist is responsible for a variety of routine and some non-routine clerical/accounting functions in accordance with standard procedures in one or more of the following areas: payroll, general accounting, accounts payable, accounts receivable or a related financial area. This position is based at our Beaverton Bag , Oregon facility and reports to the Controller. Understanding of basic financial income statement and balance sheet items, with the ability to assist the Controller is a key role in this position. Key responsibilities: NOPO process for freight invoices, and other ad hoc account payables conforming to payment terms to ensure timely processing of vendor invoices. Accurate and timely review of system reports to ensure that invoices accurately reflect current product pricing and shipments and timely resolve issues working with customer service and centralized Invoicing groups; production report agrees with the system for consumption and waste; material receiving and bill of lading match to service or goods provided or delivered. Timely receiving of rollstock into system for payment processing. Collaborates with sales, customer service and dispute management team to resolve customer related sales credit and aged receivable issues. Issues credit or debit memos timely. Contacting other department personnel and/or outside agencies to resolve problems related purchase order, billing, or receiving issues. Supports month end reconciliation and review of physical inventories; assists in inventory review processes – cycle counting and reconcile daily transactions and validate results. Assist in cycle count verifications and Physical Inventory adjustment Assist controllers with month end activities including responsibilities on some month end closing journal entries and, supports daily, weekly or monthly reports review related to internal control and processes. Assist controller in maintaining conformance and enforcing internal control policies to make sure the facility follows required processes. Prepares and performs weekly payroll in Workbrain for production employees. Work with HR, production supervisors, and or unions when required to resolve any issues related to employee paycheck. Maintains WB parameters Provides administrative support including answering phone call or door bells when needed, updating lobby guest book, directing lobby guests to proper personnel, ordering supplies and managing their proper level etc. people friendly tasks. Record retention and filing - review and file daily billing, BOL, non-commodity invoices, credits or debit memos; weekly payrolls and related documents Interacts and communicates effectively with external and internal customers. Must be able to identify and surface issues, including variances that do not meet standard practices. Works to resolve issues on an ongoing basis Must be able to support the plant requests for running basic reports, utilizing Excel for analysis, and must be able to understand what looks correct and where verification is coming from. All other duties assigned. Qualifications: Two to three years accounting experience or equivalent related experience and/or training; or equivalent combination of education and experience. Finance or accounting related degree preferred. Excellent communication skills (listening, writing, speaking) required. Attention to detail, and ability to analyze, problem solve and make good decisions Proficiency with Microsoft Excel is required. Experience working with Workbrain, Kiwi and/or SAP is a plus. Excellent time management skills and able to work both independently and in a team environment. Ability to handle details accurately and multitask Ability to work overtime if needed during month-end closing which is typically one or two hours per month.
