Job Description Administrative Assistant for one of Portland’s Leading Local Hospitals Who we are: A reputable hospital here in Portland, OR is seeking an administrative assistant to help with their growing team! This position is responsible for general office and administrative support to the managers, supervisors, and staff. Responsibilities include: Processing a variety of correspondences, (reports, memos, medical notes) Take minutes at meetings, answer phones, greets visitors, and determines if mail needs further research. The ideal candidate will have solid problem-solving skills, customer support experience and a can-do attitude. What You’ll Be Doing: · Schedule appointments, meetings, and travel arrangements for management and staff. · Coordinates the editing, proofing, printing, and distribution of grant applications, grant progress reports, newsletters, brochures, and manuals. · Set up meetings, perform Internet searches, send pages and provide photocopy support. · Performs budget related activity, analyzes data, creates and maintains routine spreadsheets. · Participate in preparing budget projections. · Provide payroll forms and records for work unit. · Coordinate travel schedule, arrange schedules of visits. · Performs specialized record processing activities requiring independent judgment. · Notify organizations to be visited. · Collect and compile data requiring specialized program knowledge as well as judgment in selecting from a variety of reports. · Complete assigned projects and tasks on their scheduled deadlines. · Provide support to staff and other duties as assigned. · Position Qualifications: · Must be self-motivated, self-disciplined, with the ability to communicate verbally and in writing. · Internal billing knowledge preferred · Neat, organized, able to work independently and interdependently · Be comfortable with fast paced work environment and have the ability to multi-task All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, citizenship, disability or protected veteran status.
