Job Description
RESPONSIBILITIES
:

:
Handle all daily operations
:
Manage a complex and dynamic calendar, scheduling all internal and external meetings, travel arrangements, conference calls and day to day activities for this executive. Showing flexibility and problem:solving abilities to adjust or prioritize schedules based on last:minute changes and professionally communicate meeting changes and agendas to invitees. Meetings include participants on and off site, including nationwide and international locations.
:
Supervise the response to requests for the CEOs time, which can be complicated, time:sensitive, highly confidential, and can necessitate an appropriate setting of expectations.
:
Identify, prepare, and compile necessary materials to ensure that the CEO has appropriate information for meetings, reports, presentations, events, and special projects.
:
Organize, manage and provide administrative support for special projects and events.
:
Research people and companies to help prepare executive for meetings and networking events
:
Manage sensitive and confidential information with discretion
:
Monitor and approves expenses for the executive team
:
Develop in:depth knowledge of complex relationships with clients, vendors, partners, and competitors to facilitate preliminary and ongoing meetings for business development initiatives.
:
Update, input, and retrieve information from a corporate database to ensure accuracy as needed.
:
Be proactive and have the ability to think ahead to anticipate needs and requests of executive
:
Ensure the office is stocked with food supplies, office supplies, and operating efficiently.
:
Maintain the office condition and arrange necessary repairs.
:
Work with HR Manager to update and maintain office policies as necessary.
:
Provide general support to visitors.
:
Work with the HR Manager and party planning committee to plan in:house or off:site activities, like parties, celebrations and conferences.
:
Arrange for weekly birthday celebrations of team members.
:
Purchase annual gifts for outside vendors who help GTMA run efficiently.
:
Arrange catering for visiting clients.

QUALIFICATIONS
:
2+ years of professional experience as either an office manager, executive assistant, sales, project coordinator or project manager
:
A 4:year degree in public relations, marketing, communications or business
:
Experience with a CRM
:
Must be Mac friendly
:
Exceptional interpersonal skills with an ability to adapt to multiple styles of management
:
Must be comfortable with majority of workload being administrative in nature
:
Self:motivated, hands:on individual with exceptional oral, written, and presentation skills
:
Must be proactive during downtime and comfortable seeking additional work
:
Excellent writing and communication skills
:
Attention to detail in a deadline:driven environment with the ability to multi:task and prioritize
:
Ability to meet deadlines and meticulous attention to detail
:
Experience in a collaborative/team based environment
:
Interest in digital/mobile work,
marketing/advertising, and technology
